Hi all,
We're celebrating the anniversary of our Music Director and we've been using that message as a way to raise additional money for our annual fund. I'm wondering if it's best to track this money through either a designation or a separate campaign. What have other organizations done to track these one time gifts?

If you think you may do a similar campaign in the future for some other milestone, I would use the same campaign but set up a new fund (could even be the same GL, but the fund lets you track it really easily). You could then re-use that fund in future years and compare results.
If this is truly a one-off, then I would just use a designation.

For the Nashville Symphony, this depends on a couple of factors. We look at a couple factors:
1) We use memberships, so do we want this one time gift to impact the membership levels and/or recognition levels?
2) If we include these funds in our Annual Campaign, we risk asking those donors to renew at the one-time “inflated” amount the following year.
If we don’t want the next year’s ask to be inflated and we don’t want membership/recognition levels to be increased, we create a separate campaign, something like Special Projects. Ultimately we can count it toward the Annual fund, but it doesn’t inflate their annual gift, their membership amounts, etc.

When we have an ask like this, we create an appeal for it within the appropriate fiscal year campaign. Then create sources for mailings or emails, etc within that appeal.
For Example:
· Campaign – 14-15 Individuals
· Appeal – Music Director Anniversary
· Source – Mailing #1
· Source – Email #1

We would also use an Appeal. That way the funds can still go to the same fund, campaign, gl, etc..

How does the finance department want to track it? Is it its own line item in the budget?
If so, maybe creating a specific campaign with its own funds would work. Does it have its own GL code that will be inactivated at the end of the season, but not its own line item in the budget? Then a fund within the AF campaign could work. If using the same GL code within campaigns the fund name would, I think, need to be changed as the same fund name can only be used once within a fiscal year.
An appeal or source code could work, too. An appeal would be great if a mailing is tied to different segments of an extraction.
Back to how does the finance department want to track it.
