Contribution Import Utility not assigning default acknowledgement

We've been using the Contribution Import Utility for a few years now for certain types of transactions that are coded with identical campaign, fund, and source information. It works great but with one snag: it assigns an acknowledgement that is not the default letter type. This requires us to click into each of the contributions and click the 'default' button on the Acknowledgements tab, which then assigns the correct letter type. I see nothing in our XML file that would override the default, nor do I see anything in the Tess documentation that even indicates this is possible. Has anyone encountered this issue that might be able to shed some light on the matter?

  • Hi Michael,

     

    We use the contribution import and haven’t had any issues with the wrong acknowledgement letter being inserted.  You should check the acknowledgement tab to verify that your acknowledgement letters are set up properly:  under Campaigns/References/Acknowledgements. 

    In the set up for the import there is the Use Ack Rules parameters that looks at what you have set up in the acknowledgements tab.  This pulls by campaign and what transaction types you have checked.  You can also limit by an appeal, membership level, start amount, etc.  When the import runs, if you are using the “Use Ack Rules” parameter, it’s looking at the Acknowledgement area to determine what letter(s) to insert, so maybe something in this tab is causing the incorrect letter to be inserted.

    The ack rules actually are correct. In Contribution Editor, when we go into the batch created by the Contribution Import Utility, all we do is go into the Premium/Ack tab and click the ‘Default’ button, which then correctly replaces the incorrectly populated ack with the right one. This is why my suspicion is that the problem must be elsewhere. But as far as I can tell, there’s nothing  wrong with the System Table settings or the CSV and XML files. The “Use Ack Rules” parameter is selected.

     

    For what it’s worth, it’s triggering the ack letter that is configured for pledges, but the actual contributions in the import are all gifts.
