Start and By dates in Solicitations

Hi

How are you using the Start and By dates in solicitation records? Currently, we are setting those to coincide with the start and end dates of the campaign for which the solicitation was created. Is anyone using them differently? Maybe to prioritize the order of solicitations or to track how long certain solicitations are taking?

We are still on v11 but I would also love to hear if anyone changed the way they are using these dates when they migrated to v12.

Thanks!

  • I’m not in the loop on that this year, but when I was, we programmatically set “start” to start of campaign “by”  to 90 days before next/most recent renew date for renewals and lapsed, end of campaign out of the gate for acquisitions.  All subject to moving around at the fundraiser’s discretion for something along the lines of mediating the flow in the pipeline.

We are on v12 and are using Start date to correspond with the Ask amount and By date to correspond with the Goal amount. That way we can track when we make the ask and when we expect the gift to come in.

    Hi Jess!

Since I set up most of our solicitations/plans in bulk before the campaign year begins, I mostly use the campaign start and end dates as well, (the fiscal year in nearly all cases here.) For any new prospects added during the campaign we've been using the date we create the plan as the start date. In practice, it's not a required field and we often forget to fill in 'Start' and 'By' dates at all when setting up individual plans, so the reality is that we're not putting those date fields to great use.

For what it's worth, in the v12 Portfolio view, 'Created Date' is a column you can filter and sort on. Which probably means there's even less need for me to document the date I set the plan up than there was before.
