Capacity Reached / Sold Out

Hey MZA group,

We have timed admission and I am hoping that another org with timed admission can help me. What is the best way that you monitor your ticket sales to see when/if you sell out for certain times and dates. We have admission all day with tours (right now we are using packages), but we have not set up a system to monitor when these sell out so that we can determine if we can open more tours. 

If you monitor this, how do you do it? What report do you use or do you use a dashboard.

  • I guess it depends on what you mean by "monitoring."

    Let's say your max tickets sold per zone/time is 200, then you could use the Attendance by Performance report (even if you don't track attendance). It can show you how many tickets were purchased by zone (group by Zone is an option). Staff would just need to do the math. This report can be scheduled.


    If you mean someone actively looking at how many are sold/available, then one could use Season Manager - House View - click on the performance - Seat Map. This would show you a visual of the ticket situation. It also tells you how many tickets are available. However, you would need to click on each zone. You change zones by clicking the Housemap button.


    Are these DAILY performances?

    There are options using QuickSale buttons configured to a performance and a specific zone, but I would not want to build those for every date and every zone. We had a 5 weeklong daily Halloween related evening performance, and I built buttons for each day/time but only built them one week at a time. It was just a quick option for the manager to look if anything was selling out. However, the available number just takes the # of total seats within the zone - # seats Held within the zone. It doesn't tell you how many tickets are available within an allocation.
