Symposium Flex Packages?

Hey Ticketing Experts!

I have a question!

This year we are doing our second annual symposium. Last year, our first year, I created a symposium production, then did different production seasons each type of event (Lectures/Walking Tour/Reception etc.) then did the different times & dates of those as performances. So it created an event on the calendar for each performance and it made the customer experience on our TNEW site not a great one because guests had to go back and forth to add tickets for the offerings over the 4 days. It made building their 4-day experience a pain! 

Background: this event consists of multiple offerings (talks, tours, exhibits, meet & greets, etc.) each day with different times, over 4 days. I need to find a way to make purchasing for this multi-day symposium easier for guests to get tickets for the events they want, in one order. So, someone suggested Flex packages. We are a timed ticket entry museum so we do not use packages right now. 

Do any organizations use Flex Packages for symposiums? Would love to know how you set this up and how it worked for you!

    Are on v15 or v16? V16 makes this very easy without having to use packages. But, we've used Flex packages in v15 to accomplish something similar for an annual forum we offer (we are also a daily timed admission organization). Each event has to be set up in its own production season and then you create a performance group for each production season and its associated event. Then when you build your package, you include all of the performance groups and determine how many are required -- i.e. can they just choose one? Or is there a minimum they need to purchase? You'll need to include a max, even if there isn't one. One tricky thing with packages is that the number of tickets you select on the initial screen will apply to all performances in the package. So if you are trying to register yourself for 4 and your partner for 3, it will have to be done as two separate packages because the ticket number you choose applies to everything.

  • Oh, I always forget to add that. We are currently on v15. 

    This is so helpful! I appreciate it. For this event, the guest would be able to choose just one, and there would not be a max. They can attend everything, every day if they wanted. I am currently watching all the videos on this, and that was one of my biggest questions was the Min/Max part. 

    That is also what I was wondering was how to build these out in ticketing setup so that they can be used in packages, so helpful to know that they have to be their own production season. And that is good to know with the registration for different people that they would each build their own package.

  • They don't technically have to be in their own production seasons, but if you want to be able to include any descriptive copy about each event you will have to because that's where TNEW pulls the copy from. Here's how our package looked on the backend:

    For us, the first event listed is required and the other two are optional. So there is a MIN of 1 and an MAX of 3. And that perf has a 1 in the MIN column. You would still have a total MIN of 1 -- they have to select something, but you can have a MIN of 0 for all of your performance groups.
