Acknowledging Donor Payroll Deductions?

Do any of you generate an acknowledgement letter for donors who give through their company's employee payroll deduction program? We currently have employee payroll deductions sourced in a Membership Campaign / Evergreen Appeal. If so, what is the interval that you send these acks: when the initial gift is made or each time an individual donation comes in? Are the gifts included in year-end tax receipts? When we receive payroll deductions from companies, they aren't on a set schedule: some come individually, they're often batched, sometimes in tandem with matching gifts, etc. We would love to acknowledge these, so are interested in any best practices for how you are thanking these donors.

  • Hey Katie! For us it kind of depends on the donor. We have had a few donors let us know that they only want one letter per calendar year, so for those folks we usually send them a letter in January every year. For those who haven't specified we sent them a letter after each donation and/or matching gift.
