Hi All,
I'm a newer database manager and I had a question about posting Web API batches for donations.
I'm trying to figure out where the Web API batches are housed/how I can look at them. Looking at the help documentation here:
https://www.tessituranetwork.com/Help_System_v160/TN-Application/Batch-Administration/Web-API-Batches.htm?Highlight=web%20api
It mentions that all web batches need to be manually posted. However when I look in the Contributions screen and search by all I'm not seeing them. (I'm not seeing them in the closed or the posted batches section)
Is there something that I'm missing or do I need to run some sort of report or SQL code?
We are currently on v16 so maybe the help documentation is outdated but if anyone has any suggestions it would be very much appreciated.
Thanks in advance
Zachary Little
First: are you a TNEW licensee or do you have a custom site?
Assuming the former (and usually for the latter as well), web contributions are placed in an order, not a formal contribution, so depending on where you are looking they many not come up there, assuming there is the Contributions tab on the Batch window?
I can't test this myself because of another question, which is do you take contributions online directly to a fund, or to an "on account" payment method? We do the latter, and in that case there is no contribution generated, and a gift processor must review those orders (and hopefully CSIs) to create proper contributions using the money that has been placed on account. Depending on how finance likes to see things you may want to wait on posting your web batches until this is done, but we do not worry about that.
Looking into it the donations are written to the fund automatically so they are held in the Ticket Orders menu. Unfortunately I'm not able to see these closed ticket orders in either of the batch screens.
Looking through the security app my account has manager and system admin rights so I'm able to see other closed, held, open, and posted batches in both the ticket order and contribution menu.
Is there somewhere that you can think of that I would be able to find this ticket orders that contain the donations? I have batch numbers that I am able to search on my end but nothing shows up.
Also we have a webapi system resource account but it doesn't have a control group set up yet. Could that be a reason why I'm not seeing anything?
If I understand you, you're not able to find the web batches in Batch Administrator at all, is that correct? There's an easily forgotten security setting required for this, and it's one of the few things not automatically granted to Admin flagged accounts, in part because weirdly it's applied to individual users and not security groups:
https://www.tessituranetwork.com/Help_System_v151h/Tessitura.htm#Security/Assigning%20Management%20Rights.htm
Thanks for this suggestion. I set myself up as a manager for the control groups but it looks like they still aren't showing up.
I'm starting to think that there are some security setting that aren't set up correctly for our Web API control group. I will look into this to see if there is anything that needs to be turned on.
Just to close out this thread for anyone that runs into this issue in the future.
It turns out that our WebServer/API user needed to have out Web security group assigned to it. Updating that and giving my user account manager access has allowed me to view the closed batches in the batch manager menu.
Thank you to everyone for their help. If I have anymore questions I will be sure to ask.
