Donor Document Record Keeping Question

Hi, 

My organization is looking to revamp our policies when it comes to pledge documentation and record keeping. We will be moving our capital campaign pledges from an old database into Tessitura at the end of the year and are trying to figure out the best policy for keeping track of the documents that come with the pledges and prepare for future pledges.

So, I'm on a fact finding mission to figure out how other organizations are keeping track of their pledge documentation. Would anyone be willing to share their policies storing and tracking pledge documentation with Tessitura?

  • So we keep gift agreements in two places in Tessitura: First, I upload them to the documents screen (under the Research tab). Then, I also create a "Solicitation" step in their plan and add the agreement as an attachment. It's a bit overkill, but I like having it in two places in case someone who isn't as familiar with Tessitura has multiple places to look for it. I'd love to have an option for attaching documents to the pledges/gifts themselves (I've submitted it to the ideas board) just to keep everything in one place.
