Discrepancy in Constituent ID counts between Cubes?

Hoping someone might have some insight on Cube functionality - not sure if I'm dealing with a data warehouse issue. We track the total count and net change of our donor constituencies with baseline lists (imported as static lists) and dynamic constituency lists. We are moving these count comparisons into dashboard indicators for easier access. However, when we create a widget that filters Constituent IDs by the list, we get a different count than the original static list. Using a widget filter or filtering in the formula gives the same result. Even odder, the count changes depending on which Cube is being used for the widget. The count in Analytics is always less than the count showing in list manager.

Creating a pivot table that filters down to a specific "missing" Constituent ID shows "no results" on the dashboard. Certain IDs show up when changing the Cube. Is this an issue with the data warehouse and what is passing through?

    Not every constituent exists in every Analytics data source. Only constituents with contributions will be in the Contributions data source. Only constituents with tickets will be in the Seats and Tickets data source. It makes sense that the Finance cube would have the highest count of the 3, as presumably those constituents in the Contributions and Seats and Tickets cube all have transactions.

  • Are there any other factors in determining which constituents are included in each cube? All the missing constituents have contributions, and I haven't found any common denominators to the types of contributions. Some, but not all, of the missing constituents had soft credit contributions; however other constituents with soft credit contributions were included in the count.

    I also learned that our admin running the same dashboard under their user type was getting different counts altogether.

    Is there documentation I can read up on data sources? I think I may have skipped over some introductory materials. Thanks!

  • If they only have soft credit, then they will not be included (v15, right?)  Also, are you in a consortium?

  • We are v15 and in a consortium. It looks like all but one of the constituents are indeed only soft credit, and the last one had gifts initiated by an individual but owned by a household (neither showing up in the list count). Is this an initiator/owner issue?

  • So that explains most of the issues, soft credit is available to Analytics in v16, though I haven't had a chance to look into how to use it.

    With the one exception, both the owner (household) and initiator (individual) are in the Analytics-visible list, but neither appears, even when the filters on the widget in question should be displaying it?

    With seeing different data when under different user groups, consortiums will typically have different datastores configured and then assigned to different security groups to ensure that only information relevant to the organization in question is displayed.  In our case, and maybe yours, we also have an "admin" datastore for everything.

    I hadn't thought to filter by owner/household. The household is showing up in the Analytics-visible list! Glad to know it isn't being missed.

    Thanks for the heads up about soft credits and consortium considerations. Sounds like our department will have to think through how we address those counts.

As Chris mentioned, only constituents with contributions will be in the Contributions cube. Only constituents with tickets (or reserved seats not yet printed) will be in the Seats and Tickets cube. Only constituents with plans will be in the Plans cube. Only constituents with transactions will be in the Finance cube. Only constituents with memberships will be in the Memberships cube. 

    Additionally in the case of the Finance and Seats & Tickets cubes, there are environment-wide settings that determine how many years back to include. So, for example, if Seats and Tickets is configured to go 5 years back, but a given constituent only had tickets 10 years ago, it's expected that constituent would not be in that cube.
