Group Setup in V11

Hello All,

So, we are switching to Version 11 very soon and I was wondering how everyone out there were going to be setting up their Group Accounts, moving forward.  We have been using a Corporate Contact when setting up our group prospects and buyers but, that it not an option in the new version.  I was just wondering how other organizations were planning on handling this switch.

    We recently switched to v. 11 and you are going to love it for group tracking! I am now wondering how I ever lived without the Associations and Affiliations for all of my contacts. Here is a handy "umbrella" method to track your groups in v. 11 that I learned at TLCC this year.

    1) Build one organizational account for the overarching group. You would not use this account to pull tickets. Ex: University of Chicago

    2) Build "tier 2" account for the group attending that performance. Also organizational constituent type. Link the two accounts by creating an association in the relationships tab.  Ex: University of Chicago Department of Music. This is the account I generally pull the tickets in since that way Marketing can see where groups are coming from in reporting.

    3) Build an individual account for the teacher/faculty/student organizing the group outing. Use the relationships tab to create an affiliation linking the individual account to the "tier 2" organizational account. Ex: Prof. Mary Smith.

    This system has worked well for me so far, even though it has taken a little bit of time to get set up properly. It is nice because the individual's ticket history can follow them while I still am able to track that they are affiliated with the group.  I also like it because for the main "tier 1" account I don't have to sift through tons of employees/teachers/members affilitated, just the various associated smaller segmented groups.

    Hi Molly

     

    We have just converted to V11 and like Elizabeth we use the same practice. Currently we are only doing this for schools, but as Elizabeth has said its works really well and is quicker and more efficient. Going forward we are planning to use this method for companies, which will definitely make it easier all round.
