End Dates

What happens to a constituent record when the end date is reached on, for example, a constituency or mailing address? I expect for that property to go inactive. Is that correct? How does the software know to inactivate it? Is there an automatic script that runs in the background?

Forgive the newbie question, I know what answer makes sense to me, I just need someone to verify for me. Thanks!

Even though the constituencies tab does have an inactive checkbox, I am pretty sure that's just present on the screen, not in the underlying data. So for example if you have a constituency whose end date is in the past, the inactive box will automatically check itself onscreen and cause the constituency to sort to the bottom and not display in the header. But there is no actual "inactive" setting by itself. The logic that determines what to display/how to display constituencies filters based on the date. I'm not sure if that's what you had in mind when you mention a script that runs in the background? But basically, as soon as the end date time passes, the constituency is inactive.

For addresses, there is a procedure that selects the appropriate one, depending on the context of how you're asking the system for the address: if you're running a report and specify a certain address type, or the mail date, vs if you're sending an order confirmation, etc. Depending on several factors, there's built in logic about how it determines what the "right" address is to display. But addresses can be inactivated directly with the checkbox. You don't have to enter an end date on them to make them inactive.

Usually, if we find out an address is no longer valid we just mark it as inactive, and don't bother entering an end date, but if you wanted to know after the fact the timeframe in which it was valid, you could. Usually we only use the start and end if it's a specific temporary address, as opposed to a seasonal address, etc. I'm sure it varies though.

     Hope that helps?
