Opening Night Procedures

Hi all,

We are currently exploring some new options from a procedural side using Tessitura to manage opening night invites/rsvps etc... 

The question we have is how do other Tess users categorise their opening night invite lists?  We are looking to streamline how we consolidate our Master List and we're trying to limit the categoires we have ie By Department/VIP/Development etc..

Any thoughts/procedures/ideas you have to share would be greatly appreciated.

    In the presentation I did at last year’s TLCC we talked about Sydney Opera House’s approach to this.

     

    Essentially each interested business area compiles and generates their own Tess List, then advises a central coordinator who combines them into a master List for final CEO approval.

     

    The individual lists are then used to create the ‘Activity’ records, taking care to use the same date, type and ‘performance name’ so that they group together in an Activity report.

     

    This approach allows us to tag a separate Host for each segment of the total list. This then has benefits such as making it clear who ‘owns’ the invite in the master reports, as well as allowing the units to pull the report on just their segment (based on the Host) if they want.

     

    Roughly the areas are Government, Media/PR, Development (Donors/Sponsors), Industry (ie ‘celebrities’ and other Arts industry), staff and board - some or all of these depending on the nature of the event.

     

    This project brought plenty of other benefits around general whole-of-organisation engagement with Tess. Getting agreement across the organisation about how to use Attributes to flag generic elements like art-form interest, as well as resolving who owns the relationships between our organisation and each individual VIP was interesting to say the least, but has ultimately been a very successful exercise…
