Procedure for printing tix prior to pmt - i.e. Groups

I am interested in learning how others are processing tickets in the instances where the tickets need to be printed prior to receiving actual payment - i.e. Groups, Sponsors, etc.

We started using Invoice pmt methods for these cases to pay off the tix with an invoice and then pay off the invoice when the pmt came in.  This works ok for the receivable side of things but the pmt method used to pay off the invoice does not get applied to the performance.  The Invoice pmt method remains in the performance.  On a perf with a high number of Group sales, the Pmts by Perf report is no longer an accurate reflection of how tix were paid.  On these perfs we're missing out on recouping cc fees at settlement if invoice(s) are paid off by credit card.  I know that a full return would work but I would like to avoid these extra steps if possible.

I'd appreciate any thoughts on how this is handled at your organization or any workaround you can think of.

  • Hi Todd,

Our DBA (Katie Lachance-Duffy) created a custom version of the Payments by Performance report with a new parameter set to 'yes' or 'no': Replace Invoice Pmts w/Related Pmt Method. It took us a while to work through the logic but so far it's been worth it. The only tricky piece was that if an order contained more than one performance and the invoice was only partially paid, we made the assumption that it was for the earlier occurring performance. I can speak to her about sharing the code if you like.

  • I would definitely be interested in how this was accomplished because any head start on the coding would be great.  As you know. tracking pmts to perfs can get a little sticky.

  • We use two method of payments for these non paid tickets:
Consignment - for tickets we will invoice and receive payment.
Settlement - for tickets we will deduct from settlement.

We also have a PrePrint pricetype that is zero valued but the ticket design suppresses the $0.00

Next we use a comp valued price type for trade tickets we made a report that shows only those Trade comps at base price but still shows as zero value on the BXO Statement
