Hello there,
Have any of you had to change the number and arrangement of seats in a package facility before? We sell our seated subscriptions as super packages, one subpackage into our Mainstage and one subpackage into our Upperstage. The Upperstage is a 3/4 thrust stage.
Over the summer, we are upgrading the seats in the center section, replacing them with larger/wider seats. That means we're going to lose at least two seats per row. So I have some suppositions, and I'd love a double-check to make sure I'm correct.
* We don't want to continue using the current map as it is; even if I killed the seats, we would then always have 20+ seats that reported as not sold and for the rest of time, they would need to be killed
* Therefore, we will need to create a new facility map to use for this updated setup
* Would it be better to create a new Zone Map within the current facility or better to create a new facility?
* If it's better to create a new facility, I won't be able to do a Rollover, is that correct?
* If it's better to just make a new Zone Map, I could roll those who aren't affected and have the ticket office book those who are
* If they're booked by hand or in a new facility and Rollover can't be used, then patrons won't be able to access their renewal online, which we very much want them to be able to do
* If push comes to shove, either because all subs need to be booked manually or just those who need to be moved, I could possibly have everyone booked and then do the rollover from THAT, thereby ensuring that the reservations can be booked online I'm glad to have that as a fallback, but I'm REALLY hoping you might have another option or things I might not have thought of.Anyone do something similar? Anyone have any advice?
Thanks!
Molly
Hi Molly,
Oof, new facilities are always a challenge when it comes to fixed seat renewals :( I have a few answers/suggestions below:
Please TEST this first, as I am not 100% positive what would happen, but maybe you could try editing the seat type on the seats your are killing in the facility map?? The facility changes I've managed are all like complete overhauls. If that doesn't work, I would recommend a new map, unfortunately, because to your point, all new hold maps moving forward would have to "remember" to kill the seats with some sort of hold. Depending on the hold (specifically thinking of blackout holds) the seats won't count towards inventory, but still.
If you build a new map, to your point, you cannot have a true rollover, as the rollover is looking at the source seat and translating it to the next season. If it's different facilities the utility doesn't know how to match the source and target seats.
You could build a dummy performance in the new venue and use the order import utility to reseat all of your patrons there, and then use that as the source performance for your target package. Particularly if the seating is the same for a majority of folks, that might be an easier process, as you could export an old subscription performance, edit the import file for the few people that need to be reseated, and then import everyone into their new seats.
If that's not ideal, you can still run the rollover for your superpackage - it will error, but still add an unseated line item to the order. That makes it a bit easier for reseating. Are you a TNEW user or do you have a custom site? We have a custom site, so I am not 100% positive if it works the same, but we can run a SQL statement to remove the order date, source, and channel on renewal orders we have to manually manipulate so that patrons can still renew online. Depending on who manages SQL for you, that might be a better option than rolling over, reseating, and then rerolling over.
Good luck!
