Is it Possible to Use NSCAN on Member Cards for Particular Performances?

My museum uses the NSCAN to scan our members cards for general admission performances. However, we would like to branch out and start including other free with membership performances.  

For example, we do afternoon concerts on Sundays that are free to members. Since it is a separate performance, we have to "sell" them into that performance and not just general admission. Our current set-up is to check them in at the front desk, sell them into the concert, print a ticket off our BOCA and then scan the ticket at the entrance to the concert door. 

We would like to be able to have them skip the front desk altogether and just have them be able to scan their membership card at the concert door and have the NSCAN "Mark as Attended" them into the concert performance specifically. 

I've read about Special Access areas that can be used, but since this is a performance (where the general public can buy tickets as well), would that still work? Or is there a better practice for this? 

I also know there is a way to use membership cards in place of barcoded tickets for events that were pre-purchased, however this does not apply as these afternoon concerts are walk-in only (no pre-registration).

  • I figured it out. Now my only problem is the previous user said the scans will not come out of our capacity. Meaning if we have capacity of 150 and I scan 3 members, the available number will not go down to 147. Is that correct? And if so, what do you suggest is the best way to handle that? We are trying to reduce the number of patrons checking-in at the Front Desk to make it easier on our associates.

    That is correct. The member scan does update the attendance, but the capacity will only be reduced if a ticket is sold (can be a comp) for that performance. It sounds like that is what you have been doing.

  • I think I have a different workaround (just upping the amount of holds on seats so the front desk can't oversell). We have not actually tried this new method yet. Currently all patrons (members or not) have to check-in at the front desk. I wanted all my ducks in a row before testing it. 

    I do have another question though (relating to my first). For member cards, I vaguely remember reading somewhere that they can be used as a replacement for a barcoded ticketed event. Is this true, and how do I set it up? For example, my museum hosts concerts that are after hours and a totally different ticket from our general admission (meaning they have to buy tickets in advance and need a barcoded ticket to get in). Many of our members always forget to bring that barcode with them, and we are stuck using a "Barcode Report" which doesn't always work. In this instance, could we scan their membership card and have it pull the attendance for that after hours performance?

    Are you worried about members showing up who have not purchased a ticket? If not, you can follow the documentation for Associating Membership Organization with Production Seasons. If you set it up that way they can be scanned in with their membership card, which will record the attendance. 

  • No, what I need is if they have purchased a ticket in advance but did not bring their barcoded ticket. Basically we want that purchased ticket to be counted as "Attended" without having to do the attendance manually on the back end. I was hoping their membership card could be a replacement. I do not want it like the Season thing (I don't think) because that would just scan them in without using a ticket (which if they have already purchased a ticket now doubles our body count and messes up our attendance/capacity).
