VIP entry and scanning a non-existent ticket?

Hi!

Our CEO and other directors like to be able to hand out 'VIP tickets' to super-VIP people they cross paths with, particularly when we launch a new exhibition. The preference is for these people to gain free access to the exhibition without having to book in advance or line up with the great unwashed masses to get a ticket - so its a sort of 'walk up and you'll get straight in' scenario. Ideal for government ministers and other big stakeholders. 

In our previous exhibitions, ticketed through external agencies, we have had what they refer to as an 'usher ticket' which is like a generic barcode staff scan to represent random unidentified extra bodies in the exhibition. They were used a lot for unscannable tickets and things like staff entry. These 'usher tickets' were included in the days entry count, right down to the session time, and I have no idea how I can reproduce this functionality in Tessi!

Does anyone have any equivalent scenarios with scanning VIPs into an exhibition when they don't have an actual ticket? Even if we can get a barcode printed on a voucher that could be scanned, how would we trace it back to the date or time? Ideally there would only be one barcode that would represent one or multiple people entering on that ticket.... It seems impossible! But if Ticketek can do it surely Tessi can! I am sure there will be some element of manual work in recording the entry after the fact, and i would really like to be able to track the entry back to the person it was given to, but at this stage I'll settle for just adding numbers into the admission count.

  • We did exactly this by creating a Guest Pass membership organization. We then created a dummy constituent and prinedt the barcode for that "membership/constituent ID" on a scan sheet and individually printed guest passes. You also need to enable the NSCAN scanning on the Membership and ticketing setup. The regular NSCAN reports will show these scans. Feel free to email me at neda@mfah.org for details.
