Release of Unrenewed Subscription seats for Single-ticket sales just for this year.

I need to find a way to release unrenewed (and unpaid) seats from subscriptions so that we can make them available for single-ticket sales, BUT keep the base seats on hold for the 22-23 renewal cycle?

To elaborate due to covid-19 some of our subscribers decided not to renew their subscription for the season of 21-22, but they want their subscription renewed for the next year. So we were looking to release the hold on these tickets and sell  them as single tickets. Now the issue is next year we want these seats assigned back to the subscribers. Is it something that is possible ?

The ideal situation is that people who have not renewed this year because of COVID could still renew the same seats in 22-23. We would only fill them as single-tickets, not as subscriptions, this year.

  • Hi Parth,

We had to do a similar thing this year as we promised people who didn't renew for the 2021 season that we'd keep their seats for the 2022 season. Unfortunately we couldn't find a straightforward way of doing it, so we had to do the below:

    - Release seats and add a hold code to these seats so that the team knew not to book any subscribers here and they remained as single ticket only seats
    - Add a constituency (we called it Manual Rollover) to flag these individuals, meaning that we could pull a list if/when needed
    - I had to run two rollovers for each set series - 2020 into 2022 and then 2021 into 2022. We did this in Test a few months out from launch to see if we had any problem orders (where a subscriber had been seated in a single ticket only seat) so that we could tackle these
    - When it came to sorting 2022 rollovers, the double rollover meant that anyone who had the same seats in 2020 and 2021 would have double rollovers in their order, but only the top one would be seated (as the second one was unable to seat anything). It also meant that anyone who changed seats in 2021 had a double rollover with two sets of seats, so I'd definitely recommend adding in CSIs/constituencies to these people so that you can manually change their order rather than waiting for them to call and having two sets of seats sat there for them!
    - Notes on the orders were so valuable and time-savers when it came to these rollovers, as we knew straight away who had released and had said they were happy to lose their seats in 2022 too, this meant we didn't need to chase them this year and could just release their rollover!

It's definitely more of a manual task than any other normal season, and we've definitely sworn to never promise people set series seats if they skip a year again! But we have had people return who didn't feel safe to join us for 2021, so that's a plus!

Feel free to reach out if you have any questions throughout the process.
