Bulk Updating Source Responses

Does anyone know of a utility that will allow me to update the source responses for a promoted source number en masse? When we do a robocall to our patrons, an extraction is created and promoted to the recipients' constituent records in the same way that we promote email campaigns. When we used Mail2 for our email campaigns (we've since moved to WordFly), Tessitura integration allowed us to track opens, click throughs, etc. for each constituent via the source's Response under the Connections tab. While we don't have robocall integration, the service we use does track the results of each call (voicemail, live answer, no longer in service, etc.). I would like to update the source responses in Tessitura accordingly, but going into each constituent record and manually flipping those responses is not feasible due to the number of people on our robocall lists.

  • I suspect that it would technically be doable.  My guess is that this would be some sort of customization.  

    However, before I would start.  I'd invite you to evaluate what you are going to do with this information, both from your organization's point of view, and the fairness and respect of your customers.  Is it worth both the time, effort?  And is the impact going to do something good for all who are involved?

    If after such a review, you choose to go forward you are likely to need someone with Database access to either 

    1. Import the data directly into the promotion records

    2. Or create a custom report/utility to allow a broader skillset of folks to import this data.

    3. Or, If your robocall service provides an API you might even be able to create a no-touch auto-update. 

  • I figured customization was going to be necessary, but a person can dream.

    As far as it's use is concerned, it's helpful for us to know when someone didn't receive an important robocall, particularly with the recent changes in our mask policies and the ever looming possibility of last minute show postponements. Having that info live in Tessitura where we can quickly ascertain who needs a follow up, as opposed to another vendor's website that only a select number of people have access to, would be very beneficial.

    Given the value proposition to customers, I hear you discussing.  It sounds like you are looking for close to real-time updates.  Options 1 and 2 above are not likely to give you near real-time info about the success of your outbound calling campaigns in Tessitura.

    I encourage you to see if your robocall company provides a REST API.  If they do, you may be looking for some way to monitor that API and then use the Tessitura REST API to update customer records in Tessitura. 

    This 3rd option is likely the most expensive option from the list I suggested.  Something to consider, how would the cost of that effort improve things more than getting more folks into the reports from the robocall vendor?

    I hope others can jump in with great ideas.

    I'm a one person show when it comes to scheduling and recording robocalls so for now, I think options 1 or 2 are what I'm looking for. I don't really need real time updates because I always monitor the progress of each campaign in real time. When the campaign is over, typically within a few minutes, I simply export the results into an Excel spreadsheet, take a minute to reformat as needed, and I'm ready to import into Tessitura. At least that's how I envision it in my head. Lol!
