Switching unseated orders

Hello everyone,

We have an interesting dilemma...

At the Young Vic we have an extremely flexible auditorium and the seating maps change for every production.

We have a show coming up which is due to go on sale without us having been given a seating plan and therefore we are going to have to sell unseated tickets to a 'general admission' seating map.  The issue we have is that, once we have the seating plan and have set up the facility, how do we transfer the orders from the general admission map to the new map?  Does anybody have any sneaky tips as to how we might do this?

Also, I hope I make sense, I think I may be rambling somewhat in my description of quite what we need.

    We’ve had this exact same issue here at AT&T Performing Arts Center several times.  I’m actually going through the same thing for the 10-11 season for one of our resident companies.  They have 2 shows that they won’t know until late summer what the configuration will be.  We are selling subscriptions unseated and will reseat them before sending out subscription packets.

     

    What we’ve done in the past is return the tickets in the incorrect facility and resell/reseat in the new facility.  This was done order by order and was very time consuming and did cause issues and confusion with the patrons (in the past, they had already received tickets and had to be issued new tickets).  I’ve since learned that the Order Export/Order Import Utilities could have been used.  I plan to try this out in my Test environment and see how it works before we reseat our orders later in the summer.

    Thank you everso much for this.  We're in quite a lucky position since all of our sales are single seat, so we don't get the added complication of subscriptions.  I will investigate Order Export/Import further, so any pointers you've found in your research would be great.

    I was wondering how you communicate with the bookers when you get round to seating them.  Do you simply send them an e-mail saying 'we've put you in seats D13 and D14'?  Do you give them the option to change the seats they've been allocated?
