There are numerous ways for organizations to sell gift certificates. Our protocol is to add a note to the gc order which states something like; "4/15: 1 gift certificate for $500. GC #6529-665. Mail to Joe Schmo @10 Main St...". We have a seasonal staff and we rely on the order notes to keep us well organized. The order notes make it easy to have one location for staff to look for information regarding a gc order. I know gc# and value can be found through payment history, but then to see where it was mailed if it were a gift, you would have to look in another location. It can be confusing for new staff, so notes work best for us. With the cancellation of some shows this season, we plan to issue GC's in bulk as the utility allows, and then batch print them, in order to mail them out. Obviously, batch printing means we don't have staff in each order, leaving notes, so we're wondering if the notes are still important or if we should teach the staff to find the information another way? I would love to hear how other organizations organize their gc's.
