RAMP Organizations and Token Management for Part-Time Front-of-House Staff

Good afternoon Tessitura Network!

We have a new member organization that will be starting to do ticketing and admissions for their building next week as a member of our consortium on RAMP.

They have a significantly larger part-time staff for Front-of-House than any of our other member organization and have questions about how other organizations have managed RAMP access for larger groups of users who only occasionally access the database.

There are concerns about occasional staff being able to remember both a RAMP login/password and a Tessitura login/password, as well as physical management and inventory of the tokens for 20 users who are not regulars in the building. They had originally intended to have a single token for access per four stations before we revisited the PCI compliance terms of RAMP usage.

Any tips and tricks or pointers that we might be able to pass along?

  • Do they have a space where they could lock them all up?  Maybe a rack in their safe? Put the tokens on lanyards with a plastic sleeve to act as name tag or something with venue specific info, that they could also store their password info in (hidden between the displayed info). This way only managers would have access, and they could distribute lanyards at the start of a shift with banks/ cash drawers.

    They will have locked storage for certain so that the tokens will only be available to staff as appropriate.

    Any thoughts on how to account for mid-day changes when one staff member ends a shift and the next staff member takes over the existing admissions batch? There’s some concern over the RAMP login process and the station being “incapacitated” for a few minutes if there’s only one active station in use.

  • I think there is always going to be a little downtime between sellers, but part of the closing responsibilities could be to make sure the ramp login is ready to go for the next person. I've never had it take more than a minute or so to get my next seller up and running, provided bank check out/closing stuff takes place away from the station that needs to be filled. 

  • We were concerned about the same thing when we moved to RAMP last summer, but staff actually adjusted to the new rhythm quickly. We did a similar thing with the lanyards- they are in a secure place next to the timeclock. They are allowed to take them home, but they aren't permitted to clock in without their token so most of them choose to keep them here for safekeeping. No losses yet, and very few forgotten tokens. We have about 20-25 part-time staff. 

    Most of our points of sale have multiple sales stations, but there is one (our drive-through window) that only has one computer. Patrons are very accommodating if you just explain that the log in process takes a minute. We've never gotten any negative feedback from patrons on that front. 

    As far as remembering passwords go, we advised staff to reset their Windows and Ramp passwords at the same time to the same thing. They have the same expiration cycle and similar character requirements, so that helps keep it simple.
