Automated Email Confirmation Reminder For Specific Venue

Hi - I wonder if anyone has an automated follow up email procedure, we currently pull a list of constituents attending a show and manually send them a reminder email with related venue information two days before the event. It would save a lot of time if we could automate this follow up email in Tessitura, we have lots of venues so the process would need to identify the date and the venue.

Is anyone doing this or aware of any functionality that could?

    Hi Justin,

    Do you guys use Wordfly or Mail2? You can set up triggered email campaigns based on particular parameters (perf date, days before performance etc) so it'll pull dynamically from tessi and do the daily work for you - you just need to set it up!

  • Hi Sarah, thanks for replying, the Marketing team use wordfly for this task but it sounds like it has been a fairly manual process setting up lists and static email content. I thought Tessi might manage the email in the same way it sends a PAH but if Wordfly does this then I'll get a wordfly login and see if I can help our team automate the process.

    Can you confirm WF should be able to pull content for the event from Tessitura? I haven't got a login yet but, is it obvious how to add Tessitura content fields into the email template? Thanks

    What sort of content are you including? 

    Wordfly can definitely pull in the content, provided you've done the set up in both Tessi and WF - you need a specific output set in Tessi and just make sure your merge fields are built in wordfly. This article is quite handy in their help documentation. 

    We use them for pre and post show emails. So we build the email, create a dynamic list in Tessi for the relevant performance, schedule for 2 days pre-show, set and forget! You can include performance date/time, tickets etc. pretty sure you can include delivery method as well... We're also looking to use it for standard donation renewals (though, that's a little trickier with output sets).

  • WordFly automated emails are all done through dynamic list criteria and output set fields. They don't really do any of the work for you of pulling performance data. You have to figure out how to get the subscribers you want with the performance data you need into the output set, and then you can pretty easily insert these custom fields into an email design.

    I've found this not to be limiting, as long as you think outside the box. Our performance reminders are sent through WordFly completely dynamically based on each buyer's performances, because we often have pretty dense performance scheduling and wanted to avoid flooding customers with these kinds of email. So I put this complicated business logic into a nightly job that "queues up" performance reminder emails into a local table that the dynamic list criteria pulls from each day, and then my output set puts together basically the entire email body HTML in a SQL view before returning it to WordFly as a single field.
