Seat Cancellation Advice

Hi,

 

This will be my first time creating a Seat Cancellation Set and I am looking for advice how to successfully run it.  We have the skeletons of the seat cancellation sets created, we just need to know how to build the list to filter out the orders we want to keep.  

 

Our main goals are:

1) Holding rolled over subscription orders for board members, donors, and a few individual consitituents.

2) Canceling all other unrenewed subscription orders.

 

What is the best way to create a list/extraction to suppress these individuals?

  • Hey Bailey,

     

    You can, of course, use the list functionality, but if you are talking about a small number of orders, what worked well for us is we moved the hold until date on the rolled over subscription orders we wanted to keep to one month after everyone else and used the hold until date <= function in the seat release to exclude those orders from the seat cancellation.

     

    If you want to continue with the list functionality, then I would say create a list of your exclusions, then create another list including anyone with package history in your upcoming season and add the exclusion using the first list you built.  That should work.  The key word there is should. As always, test in Test first.

  • It’s a slightly manual process for me, but we don’t have many orders that we need to hold, either.  What I do is pay off just $0.01 on each of the orders I want to keep held before running the seat cancellation.  Because the order is now considered partially paid, the orders won’t be released.  Later on, I’ll go back and undo the payment.  These  are all usually very special orders and constituents who need a super-personal touch, so there’d be manual intervention on them in any case. 

     

    It might not be practical for you, but if you only have a small handful of orders to exclude from cancelling, it could be another way to think about.
