Fulfilling Discounted CYO Packages for Students

We offer discount CYO packages to students and young professionals.  There are specific dates they can select from, generally ones that aren't selling well, and they aren't seated until 72 hours prior to the show because we use them to fill in empty seats.  We're working through a better way to fulfill the orders and wonder if any organizations out there offer a similar type of package.  I would love to talk to you more at the conference!

Thanks!

  • We have something similar to what you are describing called the Bold Card.  I’d love to hear about your setup as I think ours could improve.

  • Hi Jennifer!

How do you sell the BOLD CARD in Tessitura?  Is it just sold as into dummy performances and then you exchange into the actual performance when they call to redeem?

The packages historically have been sold as a flex package and then they exchange the tickets in new orders (one for each performance) for print at home ticket reasons.  72 hours prior to the performance, someone goes in and assigns actual seats and then sends out print at home tickets.  Our process is very manual right now.

We're not able to sell these cleanly on our new website, so right now they have to call, which most young people don't want to do, so we've seen a decline in sales.

I wonder if selling them as vouchers might be a better way to go.  I know younger audiences find it hard to commit far in advance and our ticket office ends up exchanging a lot of these orders.  And they're only $20 tickets, but we're trying to cultivate our future audience, so we need to make it as easy as possible for both them and us.

  • The Bold Card is 6 tickets for $100 to anyone under the age of 40.  We have the Bold Card setup as its own event which is only available over the phone or in person (to verify age) and then the patron can select their shows right away, or call back.

Box Office just puts the shows into the same order as the Bold Card to make it easier to track how many tickets they have left.  And we keep the money in the Bold Card event and created a Bold $0 price type for the shows, simply because $100 does not evenly divide by 6.

Then the manager just pulls a list of unseated orders the day of the show and the patrons pick up the tickets at will call.  We have a page on our website for the Bold Card that explains the process and that they must call to order.  When we send email reminders, we have a separate eblast for Bold Card people to remind them about upcoming shows.  We really haven't heard any complaints about it not being available online because they tend to get really great seats as we use them to fill in the gaps.
