Sub rollover with different performance night

Hello all!

We are getting ready to setup our new season subscriptions but our first production is losing a performance night.  We would like for our Friday subscribers to receive the same seats they had this season for the 4 other productions and move them to the Saturday night performance for the first production giving them acap if not the same seats as their other shows.  What is the best way to handle this since its not a simple rollover for Friday?

  • You can create your packages however you need so if you have a performance on a Saturday and the rest are on a Friday, you'll be able to roll over just fine. We set up our packages this way occasionally.

    The issue will be if you have 2 sets of subscribers rolling over into one event (i.e. Fri sub and Sat sub rolling into the same Sat event). You can still roll over, but you'll get errors in your rollover as one set of patrons will be seated and the other will be denied because the seats are taken.

    What we've done in cases like that is set up a dummy event for the Sat show in the Fri sub and manually reseat those dummy events into the live Sat event before you send out your renewals. That way everything still rolls over as normal and you can reseat that dummy event into the real one and give them the same seats or as close as possible. You probably have to tweak your form for this.

    Or you can also just leave that one event off and allow the patron to add it in as a bonus option if they want to.

    We do have full subscriptions for Friday and Saturday so I know there will be some duplicate seating with moving people to the next performance night.  Will the rollover still seat the Friday subscriptions that don’t have seating issues?

  • Yes, the rollover will seat the Friday subs that don't have seating issues. I might be wrong, it's been a while since we've had rollover errors, but orders with seating issues it will rollover as an unseated package even if it's just one show that it's in conflict. You'd just have to seat these orders separately. (i.e. seating each event in the package individually including the base map, with your Friday event seated in different locations.)

  • Hey there, Jennifer!

    We have had to do similar things a few times in the past.  Yes, the ones that do not have seating issues will be seated like normal.  Just be sure to save the report output so that you have a list of all the ones that failed to seat; you will have to go back in and seat them manually, so hopefully you do not have too many issues (we normally have not had too many, since the reason a night is being lost is usually due to lack of interest/popularity).

    Since you will have to save those orders with their new seats, you might want to go into the database and reset those so that their order date is empty like the rest of your RollOver orders, especially if you sell subscription renewals online or if you use the order date in the seating process.  Feel free to send me an e-mail if you have questions about how to do that, I have done it a number of times for our subscriptions.
