Gala Reporting

Hello!

I'm hoping those with excellent report creation skills can give me some excellent suggestions,

We are currently selling our first joint gala using Tessitura. The canned reports are OK but cumbersome. Using 4 (Box Office Statement, Payments by Performance, Sales Summary by PT Category and a Custom Seat Book report) in order to get the data requested.

I've been asked to create a combined report including:

  • All buyers names
  • Along with table or ticket type (Price Type)
  • Number of tickets
  • Price next to each ticket quantity (1 $1,500)
  • Total purchase of the gala only by constituent.

The above criteria using lists combined with an output set isn't working because the PT output is listing all constituent purchases despite the list being restricted to only the gala price types.

I tested a simple extraction using only the gala price types and it generated nothing.  It's very odd, I've created dozens of lists, extractions, etc but this one has me stumped!

    Hi Michelle,

    If you are running this as an Elevated Event you should be able to run the Event Listing Report under Development and get most of this info. The info you get will definitely be dependent on what was entered during processing. Here's the help page: Event Listing

    Thank you!  Unfortunately, development is not yet in Tessitura.  Just the box office so I've no funds to associate this with.  Happy to rebuild the event and move everything over to the elevated event but am I correct that we must have funds associated in order for the reporting to output as expected? In reviewing the documentation that seems to be the case but given this would be our first elevated event I'm grateful for your expertise!!

    I see now it is grabbing the event listing and then getting the ticket info. We use only the development functions for our Gala so I didn't know that. You can use the event module to record table purchasers and guests without processing it with gifts, it may just be too much work at the moment to record in two databases. I think you may only have to change the campaign on the ticketed event if you wanted to go that route.

    For your output set you may want to have a filter for your price types. The output set cookbook has a Price Type Used and Associated Performance piece that may be what you want. You'll need to add to T_Query_Element and T_Query_Element_Parameter, but it's not hard if you have the permissions to view that system table.

    You should remember to think about your lists as only a set of constituent IDs. To the system they don't have any other context of specific tickets or groupings.
