Hi everyone,
Recent move to Tess is causing us to re-examine our data entry standards for school groups.
We're still struggling with a lot of this...
St. Elizabeth School vs Saint Elizabeth School
John Walsh Elementary vs Walsh, John Elementary
etc
Can anyone point me towards a good resource for naming conventions so we can standardize?
Thanks in advance for your help!
you will probably want to go with what you would like your mailing labels to read...
at the Arizona Science Center we have tried to make it as Generic as possible
if the school name is actually
Dr John H Smith Elementary School or J. S. Everyday elementary
we try to use the full name, without periods, in the areas that mailings would pull from...but in the SORT NAME we would just enter Smith Elementary or Everyday Elementary...dropping the initials or first names.
if the Schools name was an animal or place etc...we usually just did the whole thing...especially with the word DESERT...here in Phoenix there are a TON of schools with Desert in it...you need the whole name to sort a smaller list!
Thanks so much Curtis for this very helpful reply!

Hi Chrissy,
One other thing I would point out is that you can use Alias names for all the variations that someone might search for within Tess. We definitely make use of that here to account for periods and abbreviations among other things...
I agree. The alias will help. Also use wild cards when searching so you find the school name and don't create a duplicate. Example. VanBuren I would search Van%Buren so that my search picks up Van Buren and VanBuren. Same with schools that have periods. J.W. Smith Elementary J%W% Smith will pick up JW Smith and J.W. Smith
We are utilizing aliases to address the multiple names for one constituent. Hope that helps.

You could just pick one way and add the alternative version in the Constituent’s profile under the Names (tab) - Aliases (radio button).

I don’t have a resource for naming convention other than basic filing rules. The 2nd entry of the elementary school is in a fashion I have never seen. I would suggest that all named schools be entered exactly as they are stated as that is the way they would be filed. As for schools with St vs Saint, either is acceptable. However, the St is a space savor (especially for long school names). In my humble opinion, I would choose St ( a period is not required for mailing standards).
