Blackout Holds in Season Overview

I think I'm missing something (always likely) when it comes to blackout hold codes and capacity.  A number of my facilities have hold code maps applied with black out codes but these held seats are appearing as capacity in Season Overview and my reports. 

 

From everything I've read that's not supposed to be the case, yet I don't see in the report procedures how those are removed from Capacity.  I guess I'm confused.

  • The only thing that is required is that you have the Black box checked for the hold code in Hold Code Maintenance in Facility Manager.  If that box is not checked, it’s not an official blackout hold code and will not exclude seats from capacity calculations.

     

    If the box is checked, you are probably going to have to open a help ticket.  Before you do, though, here are few more things to consider/try.  Season Overview will not immediately reflect blackout holds applied to a performance.  You have to wait until the next time it is refreshed to see the changes.  To test a report that does run immediately, use the Box Office Statement.  Run it once for a performance, note the capacity listed.  Add or remove the blackout hold, run it again, and see if it’s different.  One last thing to keep in mind, custom reports may not exclude seats held with a blackout hold from capacity calculations; it just depends how they were written.  Oh, I just thought of one more thing.  If the base price for a seat is $0 for some reason (like the base price map has it’s zone disabled), applying a blackout hold would not affect capacity calculations because the dollar amount is the same whether you count it or don’t count it.  That’s a pretty unlikely scenario, but it’s good to think of everything.
