How do you track free events, where registration is required (or a liability waiver is filed) but no ticket is issued?
This year we hosted a free yoga series on Fridays in June, July, and August.
So far about 200 people have participated.
We want to store participation data (for the 2014 series, not individual Friday yoga dates) at the Constituent level.
We want to be able to pull participants via Lists/Extractions based on the years they participate (we are definitely planning to offer summer yoga again next year).
In the constituent record, under Research, we have considered using Note Type in KCYOGA and pulling by Note Created Date ranges...but this seems like it might get messy when we've got more than two years of data to work with.
Any recommendations would be appreciated.
Thanks.
Chris
Hey Christine,
I can think of lots of ways to manage this.
1) You could create a season package that is this yoga event that has each Friday as a performance. If you are using N-Scan and with the upcoming versions of Tessitura, you could create a composite barcode that has all “performance” on it and someone would scan the participants in. You could also just print off each ticket that the participant would bring with and present when they attend the yoga session. Someone could then manually enter the ticket number on the manual attendance entry screen. With this method of sales, you could also have someone there to sell one offs for someone who wants to attend at will. If you want the event to be on the persons specific account in the household, you would have to set the T-Defaults table to allow you to add orders to the individual level OR you could use the new owner, initiator, recipient functionality in V12 to track all that.
2) You could have an attribute that is KCYOGA14, KCYOGA15, etc for each year they participate. That would be a manual entry, but I’m sure you could have some custom code written that would add that attribute when the event is on a patrons account.
3) All of the above.
That’s how my ticketing brain would look at handling this situation.
