A softball Q about Rollovers

So, I'm starting to think about our 2010/2011 season now (!), and thinking about the problems that I might encounter as I go to roll over in January.

The question: Does rollover data come from the Base Seat Map or the Composite Seat Map. I've checked in Tess, in documentation, and here in KB, and the nearest mention I can find of this fact is in a parenthetical thought in this KB article, which seems to say that Rollover data comes from the Base Map. Am I right?

The business case (for those of you interested in that sort of thing - feel free to skip it): We sell fixed seat packages into a venue whose seating configuration can vary widely. This season, I have five different seating configurations in the first five or six rows (at least) for all of our subscription series performances. My solution this season has been to kill the affected seats in the performance seat maps and build a new temporary seat map in that venue so that row/seat assignments make sense. However, this becomes a problem when selling the fixed seat packages as we get toward the end of that campaign. I have several packages right now which I can no longer seat in the Composite Seat Map due to these changes, and so have been skipping past that screen and starting with the Base Seat Map. I have been keeping a list outside of Tess of the subscribers involved in this, but that becomes a moot point if Rollover data is pulled from the Base and not the Composite map.

(And yes, I recognize that my solution will eventually lead to a host of vestigial seating screens down the road. I'm working on the immediate problem first before I start praying for a "Hide" button on the venue screen in Facility Manager. That said, if someone else has conquered this not-bolted-to-the-floor seat versus Fixed Seat Package problem, I'd love to know how.)

Thanks to all,

  • The base seat is what is rolled over.  This is from the Package Processing document:

The Base Seat Map is a map used to hold package seat locations for rollovers and is not associated with any performance.

I will add a similar note to the Package Administration document which is the one that covers rollovers.

The base seat exists so that if constituents exchange some of their performances, or if you can only give them the same seat for five of six shows, you will still be able to know what their subscription seat is when it comes time to do rollovers.

  • Perfect. Thanks, Kevin, and thanks again for the Lists & Extractions session.
