Complimentary Tickets System for Web and at Box Office?

Our team is currently brainstorming ways to shake up and modernise how we issue, redeem and track complimentary tickets in Tessitura. We currently print out physical Admit 1's that have the product limitation and date expiry printed on them, and can only be redeemed in person at the Box Office, not online. They are tracked through some primary comp reasons (Admit 1, Member Admit 1, Carer, Customer Service etc...).

We have been throwing around some ideas from the TN forums and some new ideas. The current concept is this:

Setup

  • A new promo code/source is setup called 'WEBCOMP', which is associated with a new 'Web Comps' MOS.
  • A new 'Comps Gift Certificate' Payment Method is setup with a GL code that will be used to separate out any "income" during reporting.
  • The 'Web Comps' MOS is restricted to only accept the new 'Comps Gift Certificate'. (TNEW v5 feature)
  • New Price Maps are created with a value of $1, and the GL code matching the new Payment Method.
  • Gift Certificates are created in bulk each with a value of $1.
  • The Performances which should have redeemable comps have the 'Web Comps' MOS added, and the relevant Price Types with the new Price Map.
  • The Gift Certificate serial numbers are printed on the back of physical 'Complimentary Ticket Passes', or used in email to deliver to the customer.

Web Redemption (TNEW):

  • The customer enters the promo code WEBCOMP to select complimentary tickets, either by typing it in, or by clicking on a link with the code embedded.
  • At the payment screen, the customer enters their 'Comps Gift Certificate' serial to complete the checkout.

Box Office Redemption:

  • The customer presents the operator with the Admit 1 card, or reads their code over the phone.
  • The operator selects the tickets and enters the Comps Gift Certificate serial number into the Payment window.

Reporting:

  • After the Performance is passed, a Stored Procedure changes the $1 Price Types to a $0 Price to allow standard reporting to work accurately.

So that's where we are now. If anyone has worked out a better solution or has any comments, please share. The main limitations of this current concept is a reliance on physical Admit 1's, which are great for giving out complimentary tickets to the general public, but not ideal for customers already in the system.
