GL Codes in Cosortium

Afternoon All

Need a bit of help!

We are struggling with managing GL codes within our consortium.  This seems to be one of the biggest areas of weakness in regards of security and control groups. 

Each org within our consortium sets up a seperate GL number per show and needs to use this GL code to report on performance of show.  Has anyone come up with a way of setting up GL code security and control groups?  We think we have to develop a report to manage but these are still accessable through ticketing setup.

Any help would be great!

    Dont really have a solution for this although I've not been aware of it being a problem in our consortium.  The only problems we've had have been within an organisation, where the wrong GL has been attached to a price map but the GL was at least a legit one for that org, not someone elses.

    We do have a rule that the GL description must have an Org-specific prefix (as does everything else), but beyond that as long as control grouping is in effect on the elements the GLs are attached to (funds, payment methods mainly) then it's been manageable for us.

  • We are in a consortium and honestly we manage all GL entries for that very reason.  There is just a LOT of risk to having everyone in those areas of the system because they are not very secure.  However, here’s an idea that might help.  Internally we have GL’s that contain a portion specific to each show.  However, that portion (called the Project Code) is typically created by our Finance team at the same time we’re trying to create a show, so it was not feasible for us to include the Project Code in the GL structure.  Our work around was to put zeros as placeholders for the Project Code in our GL setup, so we could assign the same GL to all shows in the season.  Then, in Ticketing Setup: Production Season, we put the Project Code in the Content Tab.  Maybe something like this would help your Consortium, because they could have access to the Ticketing setup screens and you could then restrict the GL screens.  Just a thought.
