I'd like to make use of the custom data tab in ticketing orders to make some of our education processes easier (in particular regards to confirmations and invoice generation).
Some data that we want to put in this custom tab will need to be defined manually by a staff member here but some of it is simply breaking down information that is clumped together in the order.
For example, we are trying to utilize the automated seating functionality and as such we need to put their entire order into one line item. But during invoice/confirmation interactions with the customer we need to specifically say how many of each price type they are ordering - not just the bulk number. So if we can get the custom data tab to auto-magically fill that in it would save a bit of time and possible human error mistakes if changes are made to the order after it has been received.
Has anyone ever done anything similar to this? Is it even possible? Or is the custom data tab a manual entry only type deal?
Hi Beth,
Do you mean that you have one line item and then change the price types within the sub line items? If so, we do same here with our education bookings and we have the totals for each price group auto populate into our custom tab. It is however the custom tab within the constituent record, rather than the ticket order.
For example; We might have one line item with a total of 24 people. In the sub line we change the price types for each sub line to the correct one- 20 students and 4 adults. When you go back to the line item it will now reach *mixed* in the price type field. In the constituent custom screen it displays as 20 students and 4 adults. We also break it down even further (manually) in this custom tab, to record the year level (grade) or each student, and whether the numbers changed on the day (manually). We also have other fields automatically populate in the custom screen based on what we have entered in the special request fields.
This was custom work, so I'm not sure entirely how it works behind the scenes, but yes, it can be done!

Hi Alison,
You are correct! One line item but different price types in the subline items so we see the "mixed" price type.
I hadn't considered having the break down populate into the constituent record custom tab. I still feel like it would be preferable for us to keep it in the order if we can (just to keep everything in one place) but it is definitely an option to look into!
Thanks :)
We were already using our custom screen in the ticket order for something else! Also, by having it in the constituent record custom screen, it meant that we could have different custom screens made for eduaction/tourism/box office etc.
