Suppressed Out of State patron appearing in list

Hi all,

In Extraction Manager, one of the suppressions for pulling a mailing list was "Out of State."  When we ran the extraction, however, one of the results is for a patron with a current out of state address and an inactive local address...does anyone have an idea why that record might have been included?

    It sounds like you have some rogue extraction criteria in the mailing... Because, in theory, if your Out of State suppression line is set up correctly then it should have suppressed that patron from the rest of the segments.

    One thing to check is to save that suppression segment in the extraction to a list and check to see if that patron is in the list. If they aren't, then something is screwy with that extraction data. 

    If they *are* in the suppression list, make sure you aren't pulling data from a segment ranked above the suppression. 

    Also, you don't say whether you are on v11 or not, but there are some extra things you have to think of when suppressing in v11 to make sure you suppress the entire Household and Affiliates. If you don't do that you can have random people slip through.

    Sorry this is such a general answer, but it is hard to be specific without actual data.

  • Hi Brady -

    Go to know that you are v11. So keep in mind scenarios like this:

    You have a household and affiliate with this set up:

    HH = #1
    A1 = #2
    A2 = #3

    The HH (#1) has an out of state address. You suppress that account, but ONLY that account (#1) - you forget to expand for #2 and #3. Then later, your data pulls account #2 because they meet the criteria. Account #2 (Affiliate 1) will end up in the data and not suppressed.

    Following me? I don't know if that is your particular scenario, but we had to go back and adjust some of our default suppressions to account for this. What we've *tended* to do for mailings is in the Advanced Relationship wizard we use the 'Replace individual constituent with Primary Household if exists'.

    This would mean that in your suppression you'd get Acct #1, and then in the later data pull Acct #2 would be replaced with Acct #1 - which would mean it would be suppressed. It also has the added bonus of only sending one mail piece to a physical address. (Emails adds a whole new layer of complexity!)
