This is just a general inquiry [on behalf of our Development department] into how other organizations may setup and use their mail restrictions. There is a concern that the existing restrictions (which is in itself a bit of a misnomer) are not clear enough, specifically regarding old restrictions, who put them there - and, more importantly, why.
We are willing to reconfigure that aspect of our Tessitura setup, but would like very much to hear what other organizations are doing and what works best for them.
Thank you for your feedback!
Matt, we use the following Mail Restrictions and try to keep them in sync with the Mail Purposes check boxes (under Addresses tab) by running a daily script through a SQL job:
Un Restricted: if all Mail Purposes (the ones we use) are checked
Restricted: if some of the mail Purposes are checked
Verify: if there is any confusion with any address, box office people check with the customer when they are in touch with the customer over the phone or in person. Good idea to put a flag on the constituent header to draw immediate attention of the box office/customer service people.
Do Not Mail: if none of the mail purposes are checked
Mail purposes are checked/unchecked by the customer from our website or by the box office people at the time of creating a new account or based on customer request.
Hope this helps,
Mo
