Data Administration

We are in the process of rolling out Tessitura to our entire organization and would like to solicit feedback on the following:

1) Do you all users of Tessitura to perform a name and address changes

2) Are you currently running an NCOA processing

3) What are you currently doing to control duplicates

    We're working in a consortium environment - so whilst your situation is different, I think the rules still apply!  We have a fortnightly meeting of a functional working group to discuss Tessitura matters - conventions, setup, etc.  We have decided on a policy for data entry standards that is in place across all consortium members organisations.  I would suggest that you might even do this within your organisation between different departments - consistent data entry will help you enormously to keep your data clean because it makes duplicates easier to identify.

    All users are allowed to update name and address details - according to the conventions.  Checking is done on a regular basis to check the quality of the data being entered and helping to identify those who might need a gentle nudge to stick to the rules!

  • Hi Bob,

    We have the same system in place as the ACO. ie set up a document to cover the protocol and procedures that are to be adhered to when doing data entry in Tessitura.

    Once a staff member has received adequate training (which includes searching thoroughly!!) we allow them to make new constituent files, have access to change data including adding attributes, changing addresses, Salutations, etc. The merging is managed by the box office, if another department notices files that are duplicates they schedule a CSI to alert the box office.

    We also check the data reqularly to ensure that people are adhering to the protocols.
