Reports Saving to SharePoint

Good morning, everyone.

I have been tasked with finding a way to save Tessitura reports to SharePoint instead of our depot.  Are there any other orgs that have figured out how to do this?  I have opened a ticket with TessNet, but I find this forum is much more responsive.

  • Can I ask are you Hosted Services, and is your SharePoint Sync'd (sunk?Thinking) with your PC?

    From what I've wrangled for reports and mail merges etc to use your SharePoint folder it needs to resolve remote Tessitura P drive to your local C drive and then from your C drive to the Sync SharePoint folder.  It's largely unhelpful that Microsoft call 2 things OneDrive - the personal account space as well as the sync to SharePoint but c'est la vie.  Nonetheless, seems to work ok for us.  I do have some simple notes, and as a starting point it is helpful to check that your Citrix connection centre has read/write access checked. 

    To resolve this issue, you need to confirm that the proper file permissions are set in Citrix:
    1. On your local desktop, find and right-click the Citrix icon
    2. Click Connection Center
    3. Drill down on Active and select your session
    4. Click Preferences within the Connection Center
    5. Confirm that Read and write access is selected

    We are self hosted and our SharePoint is sync'd so I think this will work.  However, are you able to do this for scheduled reports or just manual report saves?

    Thank you for the screenshots too.  I really appreciate that.

  • well my scheduled reports get emailed, But if you mean things like sales data files you want to auto import run using the Order Import Utility you'll have to get it to P drive which is the reverse problem.  So I think the solution for that involves saving the file locally and being able to FTP the file to the X drive on Hosted - and scheduling the Order Import from there.

    Coming late to this one as I was out of the office for an extended period of time, but if you want to handle scheduled reports, that can be done using Power Automate in Office 365.  I just set up two flows which monitor my inbox for new scheduled reports and saves them directly to SharePoint (and this works while I am offline, too; so it is not dependent upon my being actively logged in).

    We have plenty of scheduled reports.  I created a distribution list in Office that is literally just "ScheduledReports@", put myself in that group and then made sure that group was listed as a recipient for all relevant scheduled reports.  I then went into Power Automate and created two Flows.  One just saves every version of our ticket sales and budgeting report to the same folder in SharePoint (complete with required Metadata).

    The other one is a little more complex, but is the one of which I am most proud.  We have a number of scheduled reports that go to a LOT of staff members, who, aside from finding them useful at times, ALSO like to complain about the fact that these reports clog up their inboxes.  So the idea was to have a folder in SharePoint where someone could go to always find the "current reports".  So, I created a folder in SharePoint called "Current Days' Reports".  I then created the Flow so that it would delete the current version of each report as it arrived and save the new version.  So if the report is daily, it would just have the one that went out within the last 24 hours.  For the weekly reports, it holds onto them for a full week before the next one comes in and takes its place.  Thus, our staff do not need to be included on all of these scheduled reports; they can simply go to that folder and locate the most current version or whatever report they need.

    I have never tried to share Microsoft Flows before, but I would be up to giving it a shot if you are interested.

  • John!  I am so glad you took the time to show up late to the party.  This is EXACTLY what I am looking for, especially the more complex solution.  Everyone needs the information but doesn't want it clogging up their inbox.  

    I've worked with Power Automate before for Help Desk forms and things like that, so I would be interested if you can figure out a way to share your MS Flows.  And if not, I can always reach out to you if I get stuck.

    Okay, so I have exactly ZERO experience in trying to do this, but I just went into Power Automate and "exported" my flow, and it gave me a zip file.  So, if you want to send me an e-mail, I would be more than happy to send you the zip file.  Feel free to play with that and see if it is of any use.  I suppose an exported Power Automate Flow should be able to be imported and useful?  Anyway, maybe give it a shot.  And of coure, please let me know if you have any questions, etc... and I would be more than happy to chat with you about it.
