merging account records; something for ALL or just ONE?

I'd like to hear what other's restrictions are for merging account records. We never really had any hard and fast policy or guidelines, but generally we kept this as a "Box Office Only" issue due to the vast amount of ticket history and data. Is this too restrictive? Should other Departments be allowed to have the ability to identify and queue account record merges? I'd apprecaite your thoughts and opinions. Thanks!

  • We spent a lot of time on this, and came up with a very specific set of rules to allow various departments to merge accounts, while also identifying any accounts that should only be merged by certain departments because of detailed or sensitive information.  I'd be happy to share our (rather long) Duplicate Merging Manual with you if you'd like, and we can have a more detailed discussion once you've reviewed it.  We felt all departments needed some dupe merging power, as our ticketing department doesn't always have time to merge accounts immediately, and it's a higher priority for some other departments.

    Due to the fact that some parts of a constituent record are visible to some departments and not others, we have set up a process for reviewing potential duplicates using CSIs.  We have a category called Merge Constituents, with Activity Types of Box Office Review, Development Dept Review and Tessitura Manager Review.  There is documentation and a checklist of different areas of the record to check and then the Tessitura Manager is the one who actually schedules the merge.  In many cases the review process can be bypassed because the dupe record is just the result of a web sale, but in others we find it necessary to have more than one set of eyes review before the merge takes place.
