Contributions Tab, help?

You all have been so helpful to me with all of my beginner questions, I can't thank you enough. 

I've really struggled with the contributions tab and how to decipher what I need when viewing a record and even when adding gifts. I have the following issues, questions, hopes and dreams:

  1. Is there ANY way to set it up so that I can see the pledge payments without having to open a contribution? It seems so crazy to me I can't see all gifts on the front screen, crazy I tell ya!
  2. Is there a way to customize, at all, the columns I see or the order I see them?
  3. Where can I see all of the options available for Contribution Custom Data and how do I get access to use them? We have stock information and check date we currently use, but was interested to see what else is possible. 
  4. the Grand totals at the bottom - I do not understand why it adds household AND individual/owner for the same gift, so it's calculated twice. Why would it do this and how can I stop it? I know each section has a total, but I should be able to look at the grand total at the bottom of contribution tab and not have to back out any HH gift with an owner. Right? It also pulls when I run a constituent bio report on their record. Why have a bio available for donor if you can't show it to them because it's incorrect?

If anyone can help me with any of this, I owe you something great.

  • Hey Jen,  Sorry to leave you hanging.  For the top few.

    In the constituent record contributions tab you can Double click on a record and it will pop that contribution out for viewing.  In that window you can flick between tabs to see 1) Pledge Payments and schedule and 3) Contribution Custom Data.  You should be able to see all gifts and pledges on the Contributions tab (with the G and P denoting them) as long as you have your date range, fund and campaign filters cleared.  For the schedule of pledge payments you'll need to do the 2x click.

    2) you can change the columns around like you can for your Plan Portfolio screen .... yet.  Who know what v16 brings but it will shake up the interactivity of the Constituent Screen and looks very exciting.  We might have to wait for Santa.

    4) I'll have to leave - There are subtotals for each of the members of the Household that you've attributed that data too (the household and/or individuals).  Odd that it adds initiators and owners together with the household.

  • Thanks, Heath.   For the contributions - I knew the type was shown with a P or G and to open the gift to see the details, but when I'm looking at the contribution screen I can't see the pledge payments without opening the pledges. I think that's misleading and very frustrating when trying to find a gift or see EVERYTHING given to us and when. I should be able to see all money given and the dates given on the main contribution screen, even if it's a pledge payment. Ya know?

  • Morning.  The Transaction tab/radio button shows you individual transaction detail on gifts and pledges (as well as ticket transactions) without having to click in to a contribution.  It does not show you what is outstanding on a pledge or total amounts..

  • yeah thanks, not super helpful for me as I am only looking at donations and don't want to see ticket stuff and do want to see the regular details on the gifts, like balances and creditees etc. 

  • Re: Pledges.  From the contribution tab you can see

    1. the total Pledged amount (contribution amount) and
    2. the Received amount
    3. the Balance

    You can't see the schedule dates though. To look at an individuals schedule though you will open up the contribution by double clicking on it.  I developed a report to look at Pledge Schedules on a Campaign level (for our Capital Campaign) but that's more for planning.
