Rental Fees Related to IT/Database

Hey hey,

We're in the process of creating standard rental contracts for our venues and I have been asked to quantify my time into rental fees associated with any of the following: setting up user accounts (TOTG or otherwise), scheduling reports, creating custom reports, NSCAN setup/usage, etc. 

To give you some background, we are a self-hosted organization and I oversee all database and technical components. We work with a third-party IT firm, that's more break/fix, working 16 hours a week. We have a clustered terminal gateway for third-party vendors so additional connections would be no extra expense - but do we charge them anyway? Should I request a flat fee an call it day? What about a ridiculous report request?

  • In our rental contract, there is a standard non-refundable fee that covers my time for performance set up/report scheduling/pulling comp tickets etc., with a clause that we reserve the right to increase the fee based on the complexity of the work required. Generally though, our rentals are one show only with minimal work required.

  • Where i used to work at a venue for hire we'd have standard builds and reports built into the contract. Extra reporting, builds etc after onsale would be charged at 15 min incrimates. 

    This is more Ticketing related but that way we'd suggest building in all potential future discount offers ahead of time (eg $10 off or BOGOF offers) to avoid excess charges. Also meant quicker turn around times from us as we just had to change the start and end date.
