Tracking a single membership on a household constituent

We are in a tough spot and I hope someone can help us think this through. This is cross-posted on Administration, Fundraising and Ticketing to get as much input as possible.

The organization wants to sell an “add-on” benefit to membership that makes all film admissions free. The issue is that the benefit is only available to individuals. For household constituents with household/dual membership, this means that we have to do two sales so that we “write” to each record.

The bigger problem is that after selling to a household constituent, it seems that only in the contributions tab can we see which person “owns” the film add-on. The box office doesn’t have access to those records and, it seems impractical to go searching when a member comes in to verify that BOTH have a film add-on or that only one does and the other is required to pay for their film admission.

Is there a feature that we aren’t taking advantage of? Thank you for any feedback about how to approach this. I can hear Gawain now: “never come up with a clever idea before seeing if it is possible to implement.”

This kind of thing is, of course, trivial with Pricing Rules...up until we get to the individual constituent thing.

I have a couple of questions:

    1) Do you expect to sell with this benefit online as well (TNEW?  Custom Site?)?

    2) Is it important to record-keeping that these transactions be split out to the individual customers?

Without knowing the answers to those questions, here are some ideas:

First, if you need the Box Office to know membership details about a customer, but don't (reasonably) want them to have to dig through the history tab during a transaction, then the best way is to publish the information in a concise fashion in a Flex Header: https://www.tessituranetwork.com/Help_System_v141/Content/Constituent%20Records%20Basic%20Features/Flex%20Headers.htm.  A Custom Header is also possible, but usually not necessary.  We actually use ours to show membership level, one set of membership benefits and even hints about prompting for additional donations.

Second, you could in theory set up two pricing rules: one for a single membership and one for a dual, where the single has a benefit limit of 1 and the dual has a benefit limit of 2, so you could still transact on the household, have the membership at the household, and if you have a single then you'll only get one discounted ticket.  Obviously, that limit would affect your entire order, so that would be a problem if orders can contain purchases of more than one performance.  However, in that case you could, potentially, simply create a separate set of two rules for every one of you performances (or you could fudge and do a set for each production season).  Now, I've been told that you want to keep pricing rules below around 100 active, ideally, so this would depend on how many performances or production seasons you would need to cover like this (i.e. ideally less than 50).  Now, this would potentially work online as well.

If you needed recording, however, in the box office at least you could have the staff set the recipient(s) of the free ticket(s) to the specific membership holder(s).
