In v14 the use of Resources for Tours

Hello,

I am not sure what was/is the best location for this inquiry so i placed it in Admin/IT and Ticketing as it falls under both categories.

Is anyone using v14 resources for their tours? If yes, I would love to pick your brains about details/set up etc.  Are you creating a ticketed event? How do you handle multiple tours per day? (one event with multiple zones vs multiple events)? Any reporting advice/suggestions.

Thank you

  • Hello Lisa!

I've been working on getting resource scheduling set up for our tours, but it is not in official practice yet. I have all of July pretty complete so we can see what it looks like, but otherwise we are still relying on our old legacy system for docent-scheduling. I'd be happy to chat directly for more details, but basically: 1) I create a Performance, with the name of the tour. 2) I create an Order with a customer (school group, senior group, etc.). 3) On that order, I add a Booking where I record special notes and assign docents (or put in a TBD docent as a placeholder until one is assigned).

We don't use zones, so I can't advise in that capacity. I expect to use the Order Bookings Report rather heavily as a share-able/printable tour schedule. Right now, we are waiting on a quote for customization because it won't sort chronologically. We also expect to use the other two resource-related reports to keep track of individual docents and how many tours they do.

Re: multiple tours per day; not sure exactly how to read the question, so I'll just answer things that might be useful. We certainly have multiple tours per day, often with multiple docents per tour. The system seems fine so far to stop us from double-booking the same docent on two tours overlapping. For being able to look at a calendar to be able to tell how much space I have left for booking things, I'm leaning towards the Resource Set-up Calendar, in List View. It seems to be the clearest view of resources to let me see where I still have room to schedule.

Hope this helps; I'm happy to talk via email or phone as well if that would be easier!
