Campaigns/Appeals/Sources - How do you do it?

Hello all!

Long story short - we went live in 2012 and we had a custom website that didn't have the ability to capture source codes on web sales. Every single order was assigned the default source (even if a promo code or embedded URL was used). Don't ask. We're trying to block those days from our collective memories here. Slight smile Anyway, because of that we became extremely careless about our Campaign/Appeal/Source setup and have gone beyond useless with it. Total garbage. Can't be used for anything. The most horrible of horribleness you can imagine.

We are now on TNEW and have the opportunity for a second chance here. We really to change our wicked ways and do it right! We've had a couple of really great meetings with a variety of staff members (highly active, end users all the way to non-users that rely on the reporting alone). We've brainstormed several different ways of setting up our C/A/S structure but we haven't quite hit "the one" great setup yet. Everything we've explored has some big flaw with it.

The majority of our shows are our Symphony performances but we do have rentals that come to our facility as well. We also sell merchandise (CD's exclusively for now but that will change in the future) and actively seek donations. We do many different and overlapping marketing campaigns throughout the year.

We are having another meeting next week and I was asked to see if anyone in the Tess community would be willing to share their setup/structure. How are you doing this? What works and what doesn't? If you could do things differently, would you? Are there any downsides to your current method? Or do you just love, love, love it!?! Smiley

    We also are thinking of restructuring our campaigns (specifically development campaigns) and I would love to hear how the change went for you, Beth. Currently we use separate campaigns for each FYear and over time we've accumulated quite a list.

    To both of you, is this similar to the model that you use or do you change the year for your Campaigns when the new FYear begins? I am having a hard time wrapping my head around how contributions will work for future giving (say 2023 pledges that we've taken now) and how it will impact us is we change to a 'change FYear for a single campaign_no every year' model. 

    Beth, was your organization able to resolve your collective Campaign woes? If you're still in the process of this, how has it gone so far?

    We’ve been using this set up since we started with 2006 with very little deviation from the set up. We are also a symphony so we track ticketing and donations. We break our campaigns into those for ticketing/subs and those for donations and they are all set up by year. Funds are the same every year and don't change.

    Examples would be:
    1718 MH CSO Singles
    1718 MH CSO Subs
    1718 MH Pops Singles
    1718 MH Pops Subs
    FY18 Individuals
    FY18 Sponsorship

    Our Appeals are generally year specific, but we do have a few we use over and over like the general source for box office and pledge payments.

    Examples of those would be:
    CSO Renewal 1718 (for sub renewal)
    Pops Renewal 1718 (for Pops sub renewal)
    TM Renew 1718 CSO (for Telemarketing)
    TM Renew 1718 Pops (for Telemarketing)
    FY18 Fall DM Lapsed
    FY18 Fall DM Renewal
    FY18 Fall TF Renewal

    The our sources drill down on when or why the appeal went out. For FY18 Fall DM Lapsed the two sources right now are DM#1 CSO Lapsed and DM #1 Pops Lapsed. For CSO Renewal 1718 the sources break down the segments we are hitting for the calling by sub type: 1718 CSO Renewal (EDU), 1718 CSO Renewal (CYO), etc.

    This is a really high level overview and I haven’t even gotten into events and emails, but maybe this will give you an idea of what you’re looking for. Let me know if I can answer any questions or give you some more examples.
