Using receipt designs for temp. membership cards

Greetings!

Long story (kind-of) short, at the request of our accounting department, we want to avoid the ability for our staff to issue a temporary membership card, without actually processing a membership completely through Tessitura. (Another museum recently had staff pocketing the cash and then just handwriting temp cards without actually entering the sales.) My grand plan is to use a receipt design for our temporary membership cards. Thus, staff don't get a temp card unless they process the order. But I need a little assistance with some parts. I thought you brilliant people might be able to assist in brainstorming. 

To start:

 

1) I can't find an existing data field that would display the membership (contribution) level on a receipt design. Any ideas on how to make this a user-defined element?

 

2) I would like the temp cards to scan using NSCAN like our permanent cards. We have set-up our scanners to record member attendance using the the prefix M followed by the constituent ID. I can get the ID to display as a barcode on the design, but can I get the prefix+constituent ID to display? Maybe using masking? 

 

3) How could I get these to print? Can I attach multiple receipt designs to orders with contributions? Could I get orders with contributions to print both the payment receipt and this receipt design? I believe receipt designs are tied to payment method, but I will only need these designs to print for orders with memberships. Alternately, could I make this a ticket design, not a receipt and tie the tickets design to contributions? Note, our memberships are contributions, not events.

    Definitely not an expert in this area, but I don't think a ticket design would work since there wouldn't be a perf in the sale. However, a header might work.

    Headers allow you to include contribution related fields under the Order data group or User define fields. Using a Header for the temporary membership card also allows you to print the payment receipt and the temp membership card.

  • Yes! Thank you!  Karen at Tessitura just came up with that too. I completely forgot that headers were a thing. Ha.

    Dave Pitak at the Shedd showed me how to mask the constituent IDs  so we can print the barcodes for NSCAN entry. Now I just have to build that custom element to get the membership level to show. I'll be working with my SQL guru next week to figure that part out.

    Hi Amanda,

     

    The Science Museum prints Temporary Member cards on Boca stock out of the order as a header, as Sara recommends. They are bar coded, and I think we use the same member barcode format as you do; however, we haven’t scanned the temp cards, and can’t attest to how it works
