Report that Generates mailto: based on Attribute or Constituency

Hi,

I am looking for a way to generate an email to a short list based on attribute, constituency, etc?
e.g. If I want to send an email to all the board members. Lets say 15 people.

I am considering creating a report that would generate a 'mailto:...' string based on the customers returned, but wanted to check if there was another way of doing this first?

I don’t think it is possible to have a hyperlink (mailto:...) in a Infomaker report?

So it would need to be SSRS report to a web browser.

Any info appreciated.

Thanks,

Dara

  • HI Dara,

There are two parts in this topic.

    1, get an email list.

2, create an email and send them to the listed email address.

    For part 1,

    it is about database.

so just run some kind of stored procedures to create a list.

no one can really help you to create such list.

    part2,

    I don't think use AP_SEND_SMTP_EMAIL  or

sp_send_smtp_mail will be a good idea.

    that's not professional emails.

    so what should we do?

TMS, somebody maybe think about this.

    It is a good choice.

Or you can try something else.

    google "group email software".

here you go, there are a lot of free softwares you can use to send out group emails.

    here is an exmaple:

    http://www.automsw.com/features.html

    have fun.

  • Hi Nick, Ben,

Thanks for the feedback on this.

Sorry about the delay getting back to you, Not had a chance to look at this again until now!

    Nick,

I’ve tried the using the File > Merge from the results of the “Execute and Output Set” report. When I click merge if offers me to merge to a word doc. Can I do something like create template message file that will automatically open outlook when they merge to that?

I know I could save the list to Word or Excel and then use this list in Outlook to merge to a mail but that’s a lot of clicks for the user.

    Ben,

Yes, I am fine with getting the data. Its quickly putting the list of email addresses into an email that’s the issue for me.

We use TMS for large mailings, but I find this too time consuming to use this for smaller groups of email.

The report I’m looking at creating would be similar to the Output Set, showing a list of emails, e.g. email1@company1.com, email2@company2.com, email3@company3.com, and at the bottom of the report have a hyperlink as follows: mailto:email1@company1.com;email2@company2.com;email3@company3.com

This would allow the user to generate the mail with one click. Only problem is I can’t seem to create a hyperlink in Infomaker so it will have to be a SSRS report.

Do you think this idea seems feasible?

I don’t think there is any other way to generate the email with just a few clicks.

    Thanks,

    Dara

  • Hi Dara

When you setup the Word Template for a mail merge this is when you set this up as an email mail merge.

When you do a merge from Tessitura select in the Merge To drop down “Electronic Mail” and click on the setup to select the email address field and subject line.  You will be shown an error message saying that word is trying to access addresses in outlook but you can get some software to suppress this!  If not just select allow for 10 minutes in the drop down menu.

    Hope this helps.
