Email in Contact Detail but not in T_EADDRESS

Hello,

I'm working through my first email append.  I found that close to 5K of the records I received from our vendor have an email address listed on the Contact Detail tab but there's no corresponding record in T_EADDRESS and these cannot be deleted from the Contact Detail tab - the error message is 'Cannot delete this electronic address because it is used by a web login'.  I'm concerned about a conflict as the email addresses I'm appending need the primary_ind set to 'Y' so they display on the General tab and most of the email addresses not in T_EADDRESS are set as primary.  I realized this after I already completed an append in Test but I can always roll it back with a Live to Test copy.  It doesn't appear that it's created any issues but there could be issues I'm not seeing just yet.  The email addresses I appended are displayed on the General tab instead of the one no in T_EADDRESS.  Has anyone else experienced this and if so, how did you address it?

  • I didn't check every record but my spot check revealed that they are household accounts.

    Not sure if finding the email on the household (and being inherited by the individual) answered the question for you, but given the same circumstance here is what I would do.

    You should be able to safely add the emails to the individual account and mark them as primary.  This will break the inheritance of the email from the household.  That does leave an issue of the web login. It might be a bigger project than you want to tackle, but I would consider moving the email (and by extension the web login) to the individual accounts wherever possible.

    While I know that there are households out there that truly do share an email between two people, I have found it to be rare and I often discourage users from entering emails on household records.

  • I'll suggest moving the email/web login to individual accounts as a clean up project and as a consortium it sounds like we'll want to discuss procedures - this is something we're ironing out anyway as we're still in the transition process. Thank you for the suggestion and reassurance that this won't negatively affect my pending email append.
