Lists in Analytics not showing all constituents

Hi everyone! 

I've created a couple of lists that I'm trying to use to create dashboards to share with our deputy director. She wants to see two things:

  1. A list of all of our board members from 2018 to present with their giving by year, 2018 to present. To do this, I first created a list with board members (replacing individuals with households and also adding affiliated groups to capture their foundation giving, etc.). I then used the list as a filter for a pivot table widget (Rows: Constituent Display Name; Values: Total Received Amt; Columns: Cont Date Calendar Yr). 
  2. A list of donors who have made gifts of $10K+ this year. I also made a pivot table with this list as a filter (Rows: Constituent ID and Constituent Display Name; Values: Total Contribution Amt; Columns: Cont Date Calendar Month). 

I'm not seeing my full list of constituents in either widget. Any ideas why someone would show up in my results in List Manager but not in an Analytics dashboard?

  • Hi Jenni, 

    I would check two things. Are your list filters on the dashboard level, or the widget level? If they are on your dashboard then perhaps one of your widgets has the apply dashboard filters feature on. 

    If that's not it I would consider if you had added/updated any of the constituencies today that because your analytics data hasn't updated to capture those changes you may not be seeing them. If neither of those things are true maybe if appropriate attach some screenshots so I could get a closer look.

  • A lot of the time for me, if someone is in a list, but not in dashboard filtered on that list, it's because they don't have any data in that cube. Someone with no giving history won't show up in the Contributions Cube - that would include someone who only has giving through soft credits, since right now soft credits do not exist within the analytics cube.

    I have also noticed that lists don't always work as expected depending on the advanced relationship options selected in the list. Might be worth playing with to see if you get a better result!

  • Definitely what Maery said.   Replacing individuals with HH or affiliations may be separating them from their triggering data.  Check if the data for a missing record is on the individual and not the HH by filtering by a single constituent ID.  By doing spot tests like that it makes it easier to debug.

    Also, of course, it'll take a night for your list to be pulled into Analytics

    A couple of other thoughts:

    I have been working on pulling a dashboard for board.  We put a plan in for each of our board members and pulling from the plans cube will show all board members, even if they haven't yet given.  Since we can link soft credited gifts to the plan, it will include those. 

    I have been trying to get the board's giving to other areas but am finding it challenging since some of it is soft credited.  I tried a list but realized that if a board member has a match from Company A and I include it on a list, Company A will appear in my dashboard when using a list filter, BUT if other people have matches from Company A, all that giving will be included so it's not an accurate account of the board giving.  (It will be great when Analytics will show soft credits.)

    I'm not sure if initiator might be useful or not.  I haven't yet tried it as we haven't been using initiator on the contributions, but I found initiator is a field in the widgets.  At some point I plan to test to see if using initiator, might be something to use for soft credits.  Perhaps someone else in the community has used this and can give some information about how that works.
