I'm not sure whether other organisations are having this trouble or not, but in the rush to cancel and postpone shows since the spring our ticketing team seem to have been using the 'Cancellation on Account' payment method in a couple of different ways, and this is causing me a bit of a headache when it comes to reporting.
My initial approach was to look at the ticket paid amount filtered to only include the transaction type 'Ticket Refund'. Split by Payment Method you can see that most of the money over this particular period went out via the payment method 'Cancellation on Account'.
The problem is that some but not all of the money that went out on 'WMC Cancellation on Account' was eventually refunded, some value was used to purchase new tickets as in an exchange, some was converted into a donation.
For example, breaking the same table by select individual constituents...
Constituent 1745164 had an exchange. The value of their tickets was refunded to Cancellation on Account but then immediately used to pay off new tickets in a new order.
Constituent 1388582 donated their ticket value. The value of their tickets was refunded to Cancellation on Account but then immediately used to pay off a contribution in a new order.
Constituent 987786 had a genuine refund via our mass refund tool, which for whatever reason refunds to Cancellation on Account and then immediately from Cancellation to Account to the original payment method. (This second transaction to the original payment method doesn't turn up elsewhere in the table though. The only place constituent 987786 appears is here in with the 'Other Payments'.)
Of course from the 'Cancellation on Account' orders, I really only want to include instances of the same type as constituent 987786 in with my refund tracking. I've had a couple of false starts at suppressing the others but no joy yet. I don't suppose anybody on here has any suggestions as to how to tackle this?
I realise the way forward for the future is creating separate payment methods. It's just unpicking what has happened before which is troubling me.
