Sharing Dashboards post-popup questions

Thanks for the Sharing Analytics popup, Chris. We couldn't attend the live presentation but having watched the recording, now have a few questions:

  • If the owner of a a shared dashboard subsequently moves it into a different folder, renames it, or adds viewers, will the "republish" trigger notifications to all the existing viewers?
  • I understand we can't share entire folders of dbs, but do the owners' folders have any impact on how the dbs are displayed for users? Or do users just see a list of dashboards without folders?
  • Is there a way for db owners to quickly see which of their dbs they have shared? We're using a naming convention for that now but is there a better way?
  • Is there any way for viewers to delete shared dashboards that are no longer of interest to them? Or do they need to contact the owner for that?

  • Hi Susan,

When republishing a dashboard, only new recipients are notified of the share... even if a recipient was in one recipient user group, the group is removed, and another group added containing that same user. If however, you remove a user and republish, and then readd the user, they'll receive a notification.

Recipients see the exact folder structure above the dashboard that the owner has created. So if the owner has a folder called "Sales Dashboards" and shares a dashboard from within that folder, the recipient will see a new "Sales Dashboards" folder appear containing that shared dashboard.

There isn't currently a clear indication which of an owner's dashboards are shared. The closest thing to convenient (acknowledging it's not) is when hovering over the Share icon at the top of the dashboard, or clicking on a dashboard's options menu, you'll see "Republish" instead of "Share" if it's already been shared.

I recommend a top level folder with a naming convention when possible. For example, I might have a "Chris Shared" folder, containing sub folders and all my shared dashboards. Dashboards from outside of this folder can be dragged into it as a part of my sharing process.

Currently, viewers need to contact dashboard owners for removal from shares. This will be enhanced in v16 to allow recipients to remove themselves.
