Invoice Billing Ultility Data Output Set

We are about to embark on invoicing for Schools workshops and matinees using the invoice billing utility.  My Education team would love to include the Performance description and Date with the invoice.  We'll be using merge fields to merge with MSWord templates.  However the data output set for the invoice billing utility is primarily financials.  Just wondering if anyone has encountered this and worked around it.  Unfortunately I don't have infomaker access.

  • We didn't like the functionality of invoices for our Education programs. The numbers of students/teachers are constantly in flux and we wanted to be able to easily generate a new invoice if one was needed because of a minor change. We also didn't like the lack of data that the invoice billing utility spits out.
    So we decided to not use the invoice functionality for education purposes. We leave the order unpaid and assign it a dummy payment schedule. We then use the Ticket Order Billing utility (with update = NO) to spit out data that we merge into an invoice template in MS Word.

  • Thanks Beth.  I completely agree,  It seems pretty counter intuitive that the Invoice Billing Utility doesn't have product data.  Ticket Order Billing Utility is a good option but unfortunately we get payment often coming through post show and we need to have the tickets printed prior payment which is what makes the Invoice payment method so attractive.

    My feeling is that I should modify the Invoice Billing Reprint Report to include the data fields I want and run the merge letters off the reprint.

    But as you say with the inevitable change in numbers in an order we might find ourselves coming back to the idea of Ticket Billing instead.
